AI answering service vs a human answering service

An honest comparison of AI and human after hours answering services in Australia: where people do better, where AI does better, hybrid setups and costs.
Updated

A human answering service is the better choice for distressed callers and calls that need judgement. An AI answering service is better at picking up several calls at once, asking the same questions every time and sending a written summary as soon as each call ends. Yes AI’s Professional plan covers nights and weekends with 1,500 minutes a month.

Where does a person do better than an AI agent?

Any fair comparison starts with the calls a trained operator handles better.

  • Distressed callers. Someone who is frightened, grieving or angry often needs a person to slow down, reassure them and decide what to ask next. An AI agent can stay calm, follow a script and pass the call on, but it cannot read the situation the way an experienced operator can.
  • Calls that need judgement. A request that fits none of your rules, a caller who gives conflicting information, or a situation the business has never met before is better weighed up by a person.
  • Callers who will not talk to a machine. Some people hang up as soon as they realise an AI has answered. A greeting that says plainly who is answering, plus an offer to pass a message to a person, reduces this. It does not remove it.
  • Very poor lines. Speech recognition makes more mistakes with weak mobile reception, a noisy car or worksite, and some speech impairments. A well set up agent asks callers to repeat or spell details, but a person may cope better when the line is very bad.

If most of your after hours callers fall into the first two groups, such as a crisis line or a funeral director’s night line, a staffed service is the right choice.

Where does an AI agent do better?

  • No queue at busy times. A human answering service shares its operators across many businesses, so calls can wait when several clients’ phones ring together, such as during a storm or on the morning after a long weekend. An AI agent answers each call as it arrives, up to the number of simultaneous calls your phone setup allows.
  • The same questions on every call. The agent asks for the details you specified, in the order you specified, and can read phone numbers and addresses back to check them. Operators vary with experience, workload and the hour of the night.
  • Details in writing after every call. Each call produces a written summary by email, and by SMS on the Yes AI Professional plan, so the morning starts with a list instead of a run of voicemails to play back.
  • One change, every call. When you change a rule, a fee or the on-call roster, the change is made once and applies from the next call. There is no new shift to brief.
  • A predictable bill. A monthly fee with included minutes is easier to budget for than per-call charges that climb in a busy month.

How do they compare side by side?

Factor Human answering service AI answering service
Calls at peak times Can queue when many clients’ lines ring at once Each call answered as it arrives, within your line capacity
Questions asked Depends on the operator following your script Same questions, same order, every call
Distressed or upset callers Stronger: a person can use judgement and empathy Weaker: stays calm, then transfers or takes a message
Requests outside the script Stronger Weaker; takes a message for a person
Noisy lines and unclear speech Usually stronger More errors; asks callers to repeat or spell
How messages reach you Varies by provider, often email or SMS Written summary straight after each call
Recording and transcripts Varies by provider Included on the Yes AI Custom plan
Pricing model Per call, per minute or a bundle of calls Monthly fee with included minutes
Updating the script Operators are briefed; changes roll out across shifts Changed once, used from the next call
Who answers A trained person, often answering for many businesses An AI voice agent with an Australian voice

The pricing models on each side are explained in detail in what an after hours answering service costs.

What does a hybrid setup look like?

You do not have to pick one. Three combinations to consider:

  1. AI first, a person for urgent calls. The agent answers every call after hours, and anything that meets your urgent rules is transferred live to the staff member on call, or sent to them by SMS if the transfer is not picked up. The urgent call escalation page sets out that sequence.
  2. Your receptionist by day, AI for overflow and nights. Your own staff answer during business hours, the agent picks up calls that ring out while they are busy, and it takes every call once the office closes.
  3. A staffed service for one line, AI for another. A medical practice might keep a nurse triage service for clinical calls and use an AI agent for bookings, cancellations and general questions on its main number.

Some human answering services now sell AI answering as well. OfficeHQ, for example, lists an AI receptionist product next to its staffed plans. When you compare quotes, ask each provider which kind of answering you are buying, and whether a person or an AI picks up at 2am.

How do you test both before choosing?

Run the same test on every provider you are considering, AI or human:

  1. Write six scenarios: an urgent job, a routine booking, a price question, an upset caller, a caller who will not give an address, and a wrong number.
  2. Ring each provider’s demo or trial line at three different times, including a weeknight after 9pm and a Sunday morning.
  3. Time how long each call takes to be answered and how long the message takes to reach you.
  4. Check every message for the caller’s name, number, address and reason, spelled correctly.
  5. Ask in writing where call data is stored, whether calls are recorded, and how callers are told.

The checklist for choosing a service lists the contract, privacy and outage questions to add to this test.

Which suits which business?

Business Better fit Why
Plumber, electrician or locksmith with emergency callouts AI with live transfer Address and job type captured on every call; urgent jobs go to the on-call tech
GP clinic or allied health practice Hybrid Bookings and cancellations handled by AI; clinical concerns go to a clinician, healthdirect or 000
Funeral director, crisis or welfare service Human Callers are often distressed and need a person from the first word
Accounting or consulting firm with few calls after hours AI Clean messages for the morning at a fixed monthly cost
Business with sharp call peaks at set times AI, or AI plus a person Peak calls answered without a queue

Yes AI’s AI receptionist site covers daytime reception as well as after hours. To hear the agent handle a call from your kind of business, ask for a demo through the enquiry form.
